Setting Up Your Open/Close Checklist
Every shop has its little routine — turn on the Open sign, check the humidor temperature, count the back bar, lock the case at night. TORO can print that list of reminders for your staff right when the drawer opens in the morning and again before you close. You decide what's on the list and which days it shows up. This article walks you through the two windows that let you build and manage it.
Opening the Checklist Setup
- Open the Dashboard.
- Click the TORO Configuration tab in the list down the left side. (Can't find it? Type "setup" in the search tools... box at the top right.)
- Click the Set Up System card.
- Click the Employee Tasks tab along the top.
- Click the Daily Open and Close Checklist tile.
A window titled Open / Close Checklist opens, with the subtitle "Tasks to print when the store opens and closes." This is where you build your lists. You only do this once (and tweak it whenever your routine changes) — your staff never has to touch it.
Finding Your Way Around the Window
There are two simple choices at the top and down the left side, and everything in the middle follows from them.
Opening or Closing. At the top are two buttons: Opening Checklist and Closing Checklist. The one that's lit up green is the one you're working on. Click to switch between your morning list and your evening list — they're kept separate.
The day, down the left. On the left is a column of days: All Days, then Sunday through Saturday. Click a day to see the list for that day. Whichever day is lit up green is the one you're editing.
The big area in the middle is the actual list of reminders for the day and time you picked.
Adding and Changing Reminders
On the right side are your buttons:
- Add Item — type a new reminder (for example, "Check humidor sits at 70%"). It gets added to the day and time you have selected.
- Edit Item — pick a row first, then click this to change its wording.
- Remove Item — pick a row, then remove it.
To reorder the list, click a row once to select it, then click it again and drag it up or down. The order you see is the order it prints.
Tip: Double-click any row to edit it quickly.
The "All Days" Shortcut
Here's the part that saves you the most time. Most of your reminders are the same every single day — you don't want to type "Turn on the Open sign" seven times.
Click All Days on the left and add it once there. Anything on the All Days list prints every day, automatically. Then use the individual days (Sunday, Monday, and so on) only for the few things that are different — say, "Put out the trash" on Tuesdays.
When you click a specific day like Monday, you'll see a small note across the top reminding you which All Days items will also print that morning. That way you always see the whole picture of what Monday will actually print, even though you only manage the shared items in one place.
Printing the Closing List Automatically
On the Opening view this doesn't apply, but for closing it's handy. In the top-right is a box labeled Minutes before closing to auto-print. Type a number — say 30 — and TORO will automatically print the closing checklist 30 minutes before your posted closing time, so your staff has it in hand before they start shutting down. Leave it empty if you'd rather it not print on its own.
This works off the closing time you've set for that particular day on your store hours. On a day you're marked closed there's no closing time to count down to, so nothing prints on its own — if you're in the shop that day and want the list, print it by hand from the Open/Close Drawer menu. It's worth a quick look at your hours if a list you expected didn't appear: a day set to CLOSED won't auto-print, even when it has reminders saved against it.
If a till stays powered on overnight, it moves to the new day by itself — the morning list, the evening list and the countdown all follow the day your store is actually trading, so there's no need to restart it to see today's list.
Editing Your Whole List in a Spreadsheet
If you have a long list, it's sometimes easier to work in Excel than to type each line in TORO. Two buttons make that possible, and anyone can use them.
Export to Excel (CSV)
Click Export to Excel (CSV). TORO asks where to save the file, and that's it — your entire checklist (every day, opening and closing) is saved as a spreadsheet file you can open in Excel. There's no extra window and no questions to answer.
The spreadsheet has three columns: the day, whether it's Open or Close, and the reminder text.
Import from Excel (CSV)
When you've made your changes in Excel and saved the file, click Import from Excel (CSV). A window opens to bring it back in:
- Click Load CSV and pick your file. TORO reads it and shows you everything it found, so you can look it over before anything changes.
- Choose what to do with it:
- Add these items to the existing checklist — keeps what you already have and adds the new rows.
- Replace the entire checklist — wipes the old list and uses only what's in your file. (This one can't be undone, so be sure.)
- Click Import Checklist. Done.
The handy spreadsheet trick: In the day column you don't have to list one day per row. Type All to make a reminder show every day, or type several days separated by commas like Monday,Wednesday,Friday and TORO will split them out for you automatically. Every reminder you import is turned on (active) for you.
When Does the Checklist Actually Show Up?
The lists you build here are what print during the day. The morning list prints when the drawer is opened (see Opening Up for the Day), and the evening list prints at closing — either when you close out or automatically, if you set the minutes above.
