Emailing Your Reports
A report only helps if the right person actually sees it. Maybe that's your accountant who needs the financials every month, a business partner who likes a Monday-morning recap, or just you, wanting last week's numbers in your inbox without having to open the POS. The Advanced Reporting Module can email any report for you — either once, right now, or on a schedule that runs itself.
There are two ways to do it, and they live in the same place: the Email button in the top-right corner of every report card.
Send a Report Right Now
This is the quick one. You want a specific report in someone's inbox today, and you don't want to set up anything ongoing.
Open the Advanced Reporting Module (Dashboard → Advanced Reporting Module)
Find the report you want and click its Email button
Choose Send Email Now…
A window opens with everything you need:
Report Options — the same choices you'd get if you ran the report normally: the date range, and depending on the report, things like a comparison period, an employee filter, or a specific item. Set them however you want this copy to read.
Subject — pre-filled with your store name and the report name. Leave it or rewrite it; it's your email's subject line.
Send To — type an email address and click Add. Add as many as you like. Your store's admin emails are filled in automatically to save you typing — remove any you don't want. (The Add button stays grayed out until there's an address in the box.)

TORO builds the report and emails it as an attachment. This works for every report in the module — you don't have to set up a profile first.
The report goes out as an interactive HTML file. The person receiving it downloads the attachment and opens it in any web browser to get the full report with charts and tables. Email apps can't show it inline — but the download takes a second.
Set Up Automatic Delivery (Email Reporting Profiles)
A profile is a saved, repeating email. You decide once what reports go out, to whom, and how often — and from then on TORO sends them on its own. This is how stores get their daily close-of-business recap, their monthly accountant package, or a weekly owner's summary without anyone remembering to do it.
Open the profile manager
From any report's Email button, choose Manage Email Reporting Profiles… (or Create New Profile…). You'll see your existing profiles on the left and the details of the selected one on the right.
Build a profile
Name it — something you'll recognize, like "Monthly Accountant Package" or "Daily Owner Recap."
Pick a schedule — daily, weekly, monthly, quarterly, or annually. This is how often the email goes out.
Active — leave this checked to keep it running. Uncheck it to pause the profile without deleting it.
Add the reports — click Add Report, pick a report, and set its options. Each report carries its own settings: a date range, and where it applies, a comparison period, an employee filter, an item, or a "top N" limit. You can put several reports in one profile — they'll all arrive in the same email, each as its own attachment. Drag reports to reorder them, use Edit Params to change a report's settings later, or Remove to drop one.
Add the recipients — click Add Recipient. You can pull a customer or staff account (which fills in their email for you) or type an address by hand. For each person you can set:
- Type — TO, CC, or BCC, just like a normal email
- Role — an optional label like "Accountant" or "Owner" so you remember why they're on the list
Your changes save as you go — there's no separate Save button to hunt for.
When the emails actually go out
Profiles are built to deliver at close of business, so the numbers are complete:
- Daily profiles send after you close out for the day.
- Weekly, monthly, quarterly, and annual profiles send at the close of the last day of that period — the end of the week, the last day of the month, and so on.
Because your POS is usually powered off overnight, TORO is smart about catch-up. If a scheduled send is missed — the store didn't close that night, the computer was off, whatever the reason — it goes out the next time TORO is running. You won't silently lose a report, and you won't get the same one twice.
Catch-up covers more than the last missed day. If you were closed for several days, TORO backfills each one it missed, and it will still send the weekly, monthly, quarterly or annual report for a period that ended on a day you were closed. After a very long closure it skips the individual daily digests — but it still sends the period reports, because a missing month-end or annual report is a real gap in your records.
When you close the drawer, a Sending Closing Reports window shows each report being built and sent, and TORO waits for them before shutting down.
Automatic delivery runs from your main station and needs an internet connection. As long as your main register is the one closing out, you're covered.
If the connection is down when a report is due, the email is saved rather than lost — it sends automatically once you're back online, or the next time TORO starts.
What the email looks like
Scheduled profile emails come TORO-branded, with a snapshot of the day's business right in the body — total sales, how it compares to the same day in prior years, a category breakdown, payment types, and your top items and customers. Each report you added is attached as its own interactive file, ready to download and open.
Send a profile on demand
Want to fire a profile off without waiting for its schedule — to test it, or to resend? Select the profile and click Run Email Reporting Profile. It confirms the reports and recipients first, and for daily profiles it'll ask whether to use today's data or a date you pick. A manual run like this doesn't disturb the regular schedule.
Send Now vs. a Profile — Which One?
Send Email Now is for one-offs. One report, to whoever you choose, this once. Nothing is saved.
A profile is for anything recurring. Set it up once and it runs forever — the daily recap, the monthly package, the weekly summary.
You can absolutely use both: a couple of profiles handling your routine reporting, and Send Email Now whenever a one-time request comes up.
Things to Know
Both start from the same Email button on each report card — Send Email Now, add to a profile, or manage profiles all live in that one menu.
Reports arrive as attachments, not inline. Recipients download the file and open it in a browser. The email body explains this, so even a non-technical recipient can follow along.
A profile needs at least one report and one recipient before it will send anything.
Pausing beats deleting. If you only need a profile certain times of year, uncheck Active instead of removing it — your reports and recipient list stay intact for next time.
